Onsite RPO: Where the Real Conversations Happen

I’ve been spending one day a week onsite with a client for the past few months now. At this point, when I walk in I genuinely feel like part of the team.

That’s the real advantage of being embedded. You’re not just someone working a role from the outside, hoping for a decent response rate. You’re physically present. In the building. In the conversations. You’re not there to watch – you’re there to help steer things forward.

You get to rub shoulders with hiring managers, pick up on what’s really going on across the business, build proper relationships with the people making the decisions – not just with whoever’s been tasked with sending over a spec. And those relationships change everything.

The truth is, most job specs only tell half the story. They rarely capture what the business actually needs, how the team works, or what’s going on behind the scenes. When you’re onsite, you see the rest. You get the context. You catch the real conversations – the side comments in meetings, the tension between departments, the unexpected changes that impact hiring but never make it into a written brief. All of that helps shape a better recruitment process.

Today was a perfect example.

I’m working on a fairly senior product role for the UK team. I’ve had the brief, spoken with the hiring manager, and done the usual groundwork. But to be honest, I’d been struggling to get my head around the scale and capability of the platform. The job spec was broad, and the conversations so far hadn’t really helped me see the bigger picture. I had enough to get going, but it felt flat.

Then, by complete chance, I ended up sitting beside someone heavily involved in the platform itself. We hadn’t met before. Neither of us expected to be in the office that day. We started chatting, grabbed a coffee, and thirty minutes later I had everything I needed. Not just the product detail, but the thinking behind it, the commercial ambition, the roadmap. I could see how the role I was hiring for fit into something bigger – and now I can go to market with a story that actually resonates.

That’s the difference. You don’t get that kind of access working remotely or reacting to emails. These moments happen because you’re present. Because you’re in the mix. Because you’re seen as part of the team – not an external supplier waiting for updates.

When you’re embedded, you don’t just support recruitment – you shape it. You can push back on vague specs, influence timelines, flag risks early, and make sure nothing gets dropped just because someone’s calendar is full. You become someone who hiring managers listen to, not just another recruiter chasing feedback. And over time, that trust filters up through the business. You’re not just talking to HR or talent – you’re building credibility with senior leadership and the exec team. You’re in the room for the right conversations.

It also means you’re not just filling jobs. You’re advising on internal mobility. You’re identifying future gaps. You’re feeding back real market data and helping the business make smarter decisions about how it hires, who it hires and when. That’s when RPO stops being transactional and starts becoming genuinely valuable.

I’ve seen this shift happen again and again. You go in to support delivery, but because you’re there – properly there – you start to shape how the business approaches hiring full stop. It’s fast-moving, high-trust work. And it’s only possible when you embed.
