We're hiring an Executive Assistant to support the Head of European Trading and three senior members of the European Trading leadership team. What You'll Be Doing
Executive Support
- Provide dedicated support to the Head of European Trading and three senior trading managers
- Manage complex, frequently changing calendars across multiple time zones
- Prioritise meeting requests and actively optimise executives' time
- Prepare daily and weekly schedules so leaders are always ahead of their commitments
- Handle highly confidential information with absolute discretion
Calendar & Meeting Management
- Coordinate meetings involving senior stakeholders across global offices
- Proactively identify and resolve scheduling conflicts
- Book meeting rooms and virtual meeting facilities
- Coordinate recurring leadership meetings, agendas and materials
Travel Management
- Own all domestic and international travel arrangements, including complex multi-city itineraries
- Prepare detailed itineraries covering flights, accommodation and ground transport
- Respond fast to travel disruption and last-minute changes
- Coordinate visas and travel documentation where required
Administrative Support
- Process expenses accurately and promptly
- Prepare and format documents and presentations
- Coordinate approvals and signatures
- Maintain organised records and contact lists
Visitor & Event Coordination
- Coordinate visits from colleagues based in other global offices
- Liaise with overseas counterparts ahead of visits to ensure everything is in place
- Organise seating, workspace and meet-and-greet logistics for visitors
- Arrange business dinners and hospitality for the leadership group
Decision-Making Authority
This role comes with real independent authority, including:
- Acting as gatekeeper for calendars and meeting requests
- Challenging or declining meeting requests where appropriate
- Protecting focus time and aligning schedules with business priorities
- Making routine travel and scheduling decisions without needing sign-off
- Getting ahead of problems and resolving them before they land on someone's desk
What We're Looking For
Essential
- Significant experience supporting senior executives in a demanding corporate environment
- Exceptional organisational and time-management skills
- Extensive experience managing complex calendars and international travel
- Strong judgement and the confidence to manage competing priorities
- Excellent written and verbal communication skills
- High attention to detail, with the ability to perform under pressure
- Advanced proficiency in Microsoft Outlook, Teams, Word, Excel and PowerPoint
- Absolute discretion and professionalism

- Experience supporting senior leaders in trading, financial markets, or another fast-paced front-office environment
- Experience working across multiple international offices and time zones
